Privacy Policy
1. Introduction
DentVault ("we", "our", "the app") is a dental practice management application developed for use by licensed dental clinics. This Privacy Policy explains how the app handles data when used by clinic staff and administrators.
2. Data We Store
DentVault stores the following data locally on your device:
- Patient information (name, contact details, dental history)
- Appointment records and treatment plans
- Invoices and billing records
- Clinical notes, documents, and dental chart data
- User accounts and authentication credentials
- Audit logs of app activity
3. How Your Data Is Protected
All data is stored locally on your device in an offline database. Backups and shared attachments are encrypted with your recovery passphrase. User passwords are hashed with industry-standard key derivation (PBKDF2). Sensitive data such as passwords and biometric settings are protected at the device level. The app supports optional biometric authentication (Face ID / Fingerprint) and two-factor authentication (TOTP) for additional security.
4. No Cloud Sync or Third-Party Sharing
DentVault does not transmit your data to external servers. All patient records, appointments, invoices, and clinic data remain on the device where the app is installed. We do not sell, share, or provide access to any data stored in the app to third parties.
5. Data Responsibility
As a dental clinic using this app, you are responsible for ensuring that all patient data entered into DentVault complies with applicable data protection and healthcare privacy laws in your jurisdiction (including but not limited to the Data Privacy Act of 2012 in the Philippines, HIPAA in the United States, or GDPR in the European Union). DentVault provides the tools to manage data securely, but compliance with applicable laws is the responsibility of the clinic.
6. Data Retention
Data is retained on your device for as long as you use the app. You may delete individual records or reset all data at any time from the app's settings. Uninstalling the app will remove all locally stored data.
7. Updates to This Policy
We may update this Privacy Policy from time to time. Changes will be reflected on this page and the effective date above will be revised. Continued use of the app after changes constitutes acceptance of the updated policy.

9. Waitlist
When you join the waitlist from the DentVault website, we collect the email address you provide and, if you submit it, your clinic name. This information is used only to notify you when DentVault launches. We do not sell, rent, or share this list with third parties.
By submitting the form, you consent to receive one launch notification email. This consent is optional and can be withdrawn at any time by replying to any message we send or by emailing tristancarloj@gmail.com, which deletes your entry and stops all further emails.
Each clinic is responsible for obtaining any required patient consent for the SMS reminders the app sends on its behalf, in line with the applicable anti-spam and consumer-protection regulations in its jurisdiction.
10. Service Disclaimer
DentVault is provided on an "as is" and "as available" basis, without warranties of any kind, express or implied, including but not limited to implied warranties of merchantability and fitness for a particular purpose. To the maximum extent permitted by law, DentVault and its developers shall not be liable for indirect, incidental, special, consequential, or punitive damages arising out of or relating to the use of the app or the website.
DentVault provides tools to help clinics create and manage documents such as prescriptions and medical certificates. It does not provide clinical advice, diagnosis, or treatment. All clinical content, including documents and records produced with the app, remains the responsibility of the licensed clinic and the healthcare professionals using it.
